These Terms and Conditions apply as between The Ayot St Lawrence Festival (a charity registered with the Charity Commission under number 1062882), which runs the Art Show, and the Artists who submit artwork to be displayed for sale at the 2024 Art Show.
In these Terms and Conditions ‘Art’ means Hanging Artwork and Browser Artwork and Greetings Cards.
Entering Hanging Artwork (including art stretched on canvas)
“Hanging Artwork” means original, framed paintings to be hung on display. The Hanging Art should be strictly handmade, so no digital copies of images will be allowed. However, “original limited edition prints” where the image to be sold has been created by the Artist from a plate, stone, block or screen are permitted. Please note that art on canvas which is stretched over a frame is only accepted as Hanging Artwork: if you have been invited to enter Browser Artwork, you cannot enter art on canvas stretched over a frame.
- Artists are asked to submit six pieces for selection. Please submit a maximum of two large pieces (only one will be chosen for display). If submitting an extra small and/or a local piece, these can be submitted in addition to the six pieces. If you submit fewer than six pieces, we may choose fewer than the normal maximum number of pieces for inclusion in the Art Show.
- Artists must not submit any artwork previous exhibited within a 20 mile radius to the Art Show.
- All Hanging Art, including box canvas, should be framed has this has been found to assist sales.
- All Hanging Art must be ready to hang complete with wire or cord, which must be taut and fixedsecurely to D rings, with no tape etc over the wire or cord, which should be situated 1/3 down from the top of the picture. No clip frames please. Hanging will be undertaken by The Ayot St Lawrence Festival.
- Hanging Artwork that is submitted by the Closing Date and accepted by The Ayot St Lawrence Festival will usually be included in the Art Show Catalogue and may feature on our website, in any printed material and on any social media platforms used as publicity for the Art Show. By submitting the Hanging Artwork, the Artist shall be deemed to have consented to this.
- All Hanging Art must be labelled on the back with: Artist’s name; title of artwork; Catalogue Number (supplied by The Ayot St Lawrence Art Show Committee in due course); and price.
Entering Browser Artwork
“Browser Artwork” means artwork that is not framed and is not intended to be hung in the Church at the Art Show, but instead placed for viewing in browsers in the marquee. NB art on canvas stretched over a frame e.g. box canvas cannot be entered as Browser Artwork and will be rejected at handing in. Browser Artwork may be a maximum of 0.5cm in thickness.
- Browser art may include unframed original paintings and original limited edition prints; it cannot include digital or reproduction prints of any kind. Note that a print is termed “original” if the image to be sold has been created by the Artist from a plate, stone, block or screen.
- Artists may submit up to eight items of Browser Artwork.
- All Browser Artwork must be suitable for display (but not for hanging), including being protected with an acetate film cover and having a suitably stiff backing. Display will be undertaken by the Ayot St Lawrence Art Show Committee in the Art Show browser display stands.
- Browser Artwork will not be included in the Art Show Catalogue but may feature on our website, in any printed material and on any social media platforms used as publicity for the Art Show. By submitting the Browser Artwork, the Artist shall be deemed to have consented to this.
- All Browser Artwork must be labelled on the back with: Artist’s name; title of artwork; Catalogue number (supplied by The Ayot St Lawrence Art Show Committee in due course); and price.
Entering Greeting Cards
Artists may enter up to three batches of greeting cards (digital and reproduction prints allowed). 20 greeting cards count as 1 batch, provided all cards in the batch have the same price (the designs though can be different within a batch).
Delivery and removal of Framed and Unframed Art
- On Sunday 9 June 2024 between 2pm and 4pm Artists must deliver to the Art Show all Art that has been submitted and accepted.
- On Monday 17 June 2024 between 10am and 1pm Artists must collect all Art that has not been sold.
- Purchasers of Art will be permitted to remove their purchases from the Art Show on over the course of the weekend (but not during Preview Evening) or on Monday 17 June 2024 between 10am and 1pm.
All Art – General
- All registrations must be made by Sunday 28 April 2024
- Each Artist warrants that all Art submitted by them is owned by them, is their sole work and does not breach the intellectual property rights of any other person.
- The Ayot St Lawrence Festival has complete discretion over whether to permit Art that has been submitted by an Artist to be in the Art Show. The Ayot St Lawrence Festival reserves the right to reject any Art for any reason (whether relating to size, suitability, or any other reason) and/or to invite any Artist to submit alternative Art. Submission of Art for display does not guarantee that it will be displayed. All Art permitted to be displayed at the Art Show must be for sale at the Art Show. The Artist undertakes not to sell Art entered into the Art Show within a 20 mile radius of the Show prior to the Art Show, and the Ayot St Lawrence Festival reserves the right to reject any alternative Art offered as a substitute.
- The Ayot St Lawrence Festival accepts no liability to Artists if the Art Show is cancelled for any reason.
- All Art remains at the Artist’s risk throughout the duration of the Art Show and at all other times. The Ayot St Lawrence Festival accepts no liability for loss or damage of Art, or any other property of the Artist or any other person, at any time.
- During the Art Show, Artists undertake to act in the best interests of the Art Show and in particular not to encourage or facilitate the purchase of Art displayed at the Art Show from other locations, at other times or via other means.
- By entering Art in the Art Show, the Artist gives their permission to The Ayot St Lawrence Festival to use images of the entered Art and any of the Artist’s biographical entry on the Ayot St Lawrence Art Show website, in any printed material and on any social media platforms used as publicity for the Art Show.
Entry Fees and Commission
- Each Artist shall pay a non-refundable entry fee per item displayed at the Art Show as follows:
- Smaller Hanging Artwork (max. width/height 51 cm): £6 per item
- Larger Hanging Artwork (max. width/height 76 cm): £10 per item
- Browser Artwork: £3 per item
- Greeting Cards: £3 per batch of 20 cards
- Entry fees are payable on completion of the selection process.
- Entry fees will not be refunded if an item is subsequently withdrawn from the Art Show.
- The Ayot St Lawrence Festival is entitled to a commission of 25% of the sale price on all sales made during the Art Show, of Art displayed at the Art Show.
- Each Artist shall ensure that all such sales of their Art are processed by The Ayot St Lawrence Festival (as agent for the Artist) by The Ayot St Lawrence Festival’s chosen means. The Ayot St Lawrence Festival may deduct its commission, any card handling fees and any other sums payable by the Artist to The Ayot St Lawrence Festival directly from the proceeds of sale and will account to the Artist for the balance of such proceeds. Such balance will normally be paid into the bank account details of which were given by the Artist on their entry form.
- The Artist shall be responsible for any and all VAT and other taxes or levies payable in connection with sales.
- Any commissions arising as a result of communication between the Artist and commissioner during the Art Show, or afterwards as a result of the commissioner having seen the Artist’s work at the Art Show, will also be subject to a commission of 25% payable to the Ayot St Lawrence Festival, such commission being due to the Art Show within two weeks of payment being made to the Artist.
GDPR Statement
Information relating to an Artist personally (including any sensitive personal data, as defined in The UK
General Data Protection Regulation (UK GDPR)) is referred to below as ‘personal data’. The Ayot St Lawrence Festival will only process an Artist’s personal data for legitimate purposes (including administrative, financial, legal, management and other purposes) and other purposes to which the Artist expressly agrees from time to time. Each Artist consents to The Ayot St Lawrence Festival processing his/her personal data on this basis, including but not limited to the transfer of such personal data to third parties if, in the view of The Ayot St Lawrence Festival, such transfer is required for the proper conduct of The Ayot St Lawrence Festival’s affairs. This clause applies to personal data transferred or otherwise processed in any form, whether within or outside the United Kingdom and even where the country or territory in question does not maintain adequate data protection standards. Please note that The Ayot St Lawrence Festival may retain personal data for a reasonable period of time for any of the purposes set out above.
